Privacy Policy

Pinecone holds two kinds of information: yours, and your customers'. This explains what we collect, why we have it, and exactly who else touches it.

1. The short version

  • We don't sell your data, or your customers' data. Ever.
  • We don't use your customer list to market to anyone.
  • Other companies on Pinecone cannot see your workspace.
  • We only collect what the software needs to actually work.
  • One exception, spelled out in section 7: we may pass your own business contact details to our partner network. Never your customers’ details, and you can opt out.

2. What we collect from you

  • Account details — your name, email, company name, and workspace address. Needed to create and secure your account.
  • Billing details — your plan, price, renewal date, and a PayPal subscription reference. We never receive your card or bank numbers — those go straight to PayPal.
  • Business data you enter — customers, jobs, schedules, crews, hours, expenses, quotes, invoices, photos, and mockups.
  • Basic technical logs — sign-in times and errors, used to keep the service secure and working.
  • Which screens get used — we count how many times each page of the app is opened, so we know what to improve. It is a tally per screen: never which customer, job or record you opened, and never who opened it.

3. Your customers' information

When you add a customer, you’re putting another person’s name, address, phone, and email into Pinecone. In legal terms you’re the controllerof that information and we’re the processor— meaning it’s your data, we just hold it and act on your instructions.

That also means it’s on you to have a proper reason to hold it, and to answer your customers if they ask what you have. If someone asks you to delete their record, you can do that yourself in the app — and we’ll help if you need us to.

4. Ask Pinecone and AI

When you ask Ask Pinecone a question, we send a summary of your workspace — totals, jobs, quotes, customer names — to our AI provider so it can answer. It is sent to generate your answer only. It is not used to train anyone’s models, and it isn’t shared with other Pinecone companies. If you’d rather none of your data go there at all, an owner can switch the feature off in Settings.

5. Photos and Street View

When you pull a house photo for a mockup, we ask Google Street View for the image using the property address, and we save a copy so you don’t have to fetch it twice. Photos you upload yourself are stored with the customer they belong to. Both are visible only inside your workspace, unless you share a quote or mockup link — those links are unguessable, but anyone holding one can view that page.

6. Who else touches your data

We use a small number of vendors to run the service. They may process data only to provide their piece of it:

Beyond these, we’ll only hand over data if the law genuinely requires it — and we’ll tell you unless we’re legally barred from doing so.

7. Our partner network

Pinecone works with a network of trusted first-party partners — suppliers, hardware stores, installer groups, and marketing and operations providers. We may share your company’s own contact details with them so they can offer you resources and services that help your business, including marketing and operational assistance.

What we share, precisely:

  • Shared: your business name, your name, your business email and phone, and your general location (city/state).
  • Never shared: anything about your customers — names, addresses, phones, emails, photos, notes. Not now, not ever, not in aggregate.
  • Never shared: your jobs, pricing, quotes, invoices, revenue, or any figures about how your business performs.
  • Never sold. Partners receive your details to contact you about their own offerings, and are contractually barred from passing them on.

You can opt out at any time — email support@pineconepro.com and we’ll remove you from partner sharing. It costs you nothing and changes neither your price nor your access. If you’ve already heard from a partner, you can also tell them directly to stop.

8. How long we keep it

We keep your workspace as long as your account is open — light installers need last season’s history, so we don’t auto-delete it. If you cancel, we hold your data for 90 days in case you come back or need an export, then delete it. Backups roll off within 30 days after that. Ask us to delete it sooner and we will.

9. Security

Data is encrypted in transit and at rest. Every workspace is isolated at the database level, so one company’s login cannot read another’s rows. Logins are protected with two-factor authentication by email. No system is perfect — if we ever have a breach affecting your data, we’ll tell you promptly and plainly.

10. Your rights

Depending on where you live, you may have the right to see, correct, export, or delete the personal information we hold about you — and to not be discriminated against for asking. Most of this you can do yourself in the app; for the rest, email support@pineconepro.com and we’ll take care of it. If you’re asking about a record a Pinecone company holds about you as theircustomer, contact that company — it’s their data, and we’ll point you to them.

11. Children

Pinecone is a tool for businesses and isn’t meant for anyone under 18. We don’t knowingly collect information from children.

12. Changes

If we change this policy in a way that matters — a new provider, a new use of your data — we’ll tell you by email or in the app before it takes effect.
